Privacy Statement

How The Better Cities Company AB collects, uses, and protects your personal data. For couriers, business contacts, and visitors to our website.

1. Who we are

The Better Cities Company AB (“we”, “us”) provides vehicle leasing and fleet solutions to couriers, courier partners, fleet operators and companies, including programs run with partner delivery platforms, and sells advertising space on our vehicles. We are committed to protecting your personal data and being transparent about how we use it.

For the purposes of the EU General Data Protection Regulation (GDPR), The Better Cities Company AB is the data controller for the personal data described in this statement.

Who this statement covers: courier applicants and couriers, business contacts and prospective customers, and visitors to our website. Employees and job applicants receive a separate privacy notice. We operate in several EU/EEA countries; this statement applies wherever we provide our services.

2. What personal data we collect and why

Vehicle location data

Our vehicles carry GPS trackers that record location (live and historical) for fleet management, theft prevention and recovery. The data is stored against the vehicle, not your name, and we connect it to you only when operationally necessary (e.g. theft, damage, dispute). Because a vehicle is leased to you personally, this data can relate to you. We use it only for fleet operations. We do not use it to monitor your work, your speed, or your behaviour, and we do not use it for marketing directed at you. Access is restricted to our operations team.

Legal basis: Legitimate interest (Art. 6(1)(f)), in protecting our fleet.

Vehicle handover and return

When we deliver or recover a vehicle, our operations app records the handover and return details: vehicle and battery details, accessories, mileage, condition notes and photos of the vehicle, plus the time, location and the device used to submit the form. We use this to document the condition of the vehicle and to support any damage, loss or dispute.

Support and communications

When you contact us (email to info@bettercitiescompany.com, phone, or our damage-reporting portal at fms.bettercitiescompany.com), we process your contact details and the content of your message to help you.

Business contacts and prospects

For advertiser clients, fleet and company customers, partners and prospective couriers who contact us via our website or are referred to us, we process name, contact details and your expressed interest.

3. What we don't do

We do not sell your personal data. We do not use vehicle location data for advertising directed at you. We do not process special category data (health, ethnicity, etc.) unless a specific situation requires it, in which case we ensure a valid Article 9 basis first. We do not use automated decision-making that produces legal or similarly significant effects on you. Application decisions are made by people.

4. Where your data comes from

Directly from you (application form, contact); from a partner delivery platform with your consent (application support); from publicly available sources for business contacts.

5. Who we share it with

6. International transfers

Some of our service providers (e.g. Airtable, Google) process data in the United States. Where data leaves the EEA we rely on the EU–US Data Privacy Framework or Standard Contractual Clauses, plus additional safeguards where appropriate.

7. How long we keep your data

Vehicle location history Linked to you for up to 24 months (longer only for theft, insurance or an active dispute), then anonymised. Anonymised statistics may be kept indefinitely.
Handover and return records and photos With your lease record; photos kept only as long as needed for any related claim.
Support correspondence 24 months after the case closes.
Prospect data 24 months after last contact.
Marketing preferences Until you opt out.

8. Your rights

You have the right to access your data, have it corrected or deleted, restrict or object to processing, receive your data in a portable format, and withdraw any consent at any time (without affecting processing before withdrawal). These rights apply in the circumstances set out in the GDPR.

We protect personal data with appropriate technical and organisational measures, including access controls, encryption in transit and at rest where appropriate, and secure hosting.
